Requirements

  • 5+ years related work experience preferred

  • Self-motivated, team player with a desire to drive to learn and grow

Responsibilities 

  • Manage the executives’ calendars, schedule all internal and external meetings, and setup video and audio conferencing when required

  • Coordinate travel arrangements point-to-point and associated logistics

  • Prepare, review, and submit expense reports

  • Accurately processing expense and mileage reports with timely submission

  • Maintain an overall awareness of the executives’ business activities, anticipate the needs that are associated with each meeting / event, and preempt the needs of other parties involved in the executive’s meetings

  • Project management to include but not limited to compiling special reports, presentations, and organization charts

  • Prepare executives for daily calendar and activities including prioritization of meetings, advising on potential calendar/ event/ corporate issues, and preparing all necessary documents and meeting materials

  • Represent executives to other senior officials both within and outside the organization in a positive and professional manner

  • Answer incoming calls; determine purpose of callers and ‘gate keep’ for executives as necessary

  • Protect operations by keeping information confidential and routed to only appropriate areas
